ARC Special Collections Meeting March 10, 2008

A meeting of the ARC Special Collections Interest Group was held Monday, March 10, 2008 at 11 a.m. at UMass Medical Center in the Archives Room of the Lamar Soutter Library. Ellen More, Head of the Office of Medical History and Archives, hosted the meeting and provided lunch.

Present were: Margaret Anderson, Assistant Archivist, WPI; Sarah Campbell, Assistant Archivist, Holy Cross; Dodie Gaudet, Technology/Digitization Specialist, CMRLS; Alice Howe, Curator, New England Province of the Society of Jesus; Mott Linn, Coordinator of Archives & Special Collections, Clark; Ellen More, Head, Office of Medical History and Archives, UMass Medical Center; Rodney Obien, Curator of Archives and Special Collections, WPI; Christine Reinhart, Assistant Archivist, UMass Medical Center; Mark Savolis, Head of Archives & Special Collections, Holy Cross.

We discussed possible places for future meetings. Suggestions were the Plastics Museum in Leominster and the Military Museum in Milford.

Rodney raised the question of changing officers for the group. Rodney and Margaret have been President and Secretary for about two years. Mott will check the by-laws to see when new officers should be installed.

Mott reported on the planned renovation of the Goddard Library at Clark. This will take place over this summer, and the library will be closed during that time. The Archives staff will be located in another building; some limited retrieval of materials can be done. The library will have a new HVAC system installed, as well as renovations to some spaces, and the first floor will be enclosed to allow for more student study space. That floor will be open 24/7.

Rodney reminded the group of the New England Archivists Spring Conference in Newport, which will take place Saturday March 29th.

Mark reported that Holy Cross has received some funding for cataloging of rare books this summer.

Ellen told us about plans for the Lamar Soutter Library. There will be a major renovation of the library in the near future. The library will lose some space as classrooms are enlarged, and the Technical Services Department will be moving. In the Archives Room, the plan is to remove the present old shelves, and to provide rows of shelving at one end of the long room. Rare books and Special Collections will be stored there. The other end of the room can be used for work and meetings. The rare books are now organized by decades, and the cataloging department will soon be cataloging them by subject, which will make them easier to access.

We discussed use of space for collections, and making materials available electronically. We also discussed ways to involve the public, including Friends Groups which some libraries have and programs which would bring people to Archives and Special Collections. Rodney asked if the group would like to talk further about development. Dodie explained a little about the Digital Treasures project through CMRLS, which is making 20 images per participating institution available to the public online.
